Transactions are counted as lines coming through your bank and card feeds, not invoices raised in your field software. If your feed volume runs above the band for a tier, I'll say so at the file review rather than after you've signed.
Onboarding · six phases, run in order
What the first-month fee actually buys.
Onboarding is the real work of taking over a file. It runs in a fixed order because each phase depends on the one before it, and you get the checklist for your tier so you can see what's on you and what's on me.
PHASE 1
Win the work
Engagement letter, client acceptance, confidentiality and security terms, deposit.
PHASE 2
Get the keys
CRA and Manitoba tax account authorisations, bank and card access, QBO or Xero, feeds, receipt capture, field software connection.
PHASE 3
Read the history
Prior returns and assessments, handoff from your accountant, file health check, sales tax and payroll account reconciliations.
PHASE 4
Fix the books
Chart of accounts rebuilt for install, service, maintenance and parts; opening balances, the backlog, receivables and payables, deferred agreement revenue, sign-off.
PHASE 5
Build the cadence
Close checklist, reporting pack, your KPI set, 13-week cash, budget, advisory calendar.

Go live

Straight answers
Before you ask.
Are you a CPA?
No. Mason Dunning is a CPA candidate — the designation isn't finished. That's why this practice does bookkeeping and advisory only and doesn't offer assurance work, and it's part of why the prices are what they are. Your accountant keeps doing your year-end and your filings; I hand them a file that doesn't need fixing first.
Do you file my GST or my corporate return?
No. No tax preparation or filing of any kind. The sales tax accounts are reconciled monthly so the numbers your filer needs are right and on time, but the filing itself isn't in scope.
Do you run payroll?
No. Payroll processing stays with you or your provider. The payroll that runs gets recorded, split into field labour, warranty and overhead, and reconciled to the remittance accounts.
Can you work in the software we already use?
Books are kept in QuickBooks Online or Xero. On the field side I work from what you have — ServiceTitan, Jobber, Housecall Pro, FieldEdge and the rest all export what's needed; the less common the system, the more of that mapping happens in onboarding.
Are the prices negotiable?
The monthly fees are published and the same for everyone. Onboarding is quoted from your actual file, so that number moves with the state of the books.
What if my books are two years behind?
That's a clean-up quote, and it's normal. The monthly work can't start until the history is right, so the file review comes first and the catch-up gets its own price and timeline before anything monthly begins.
Where are you, and does it matter?
Winnipeg, Manitoba. The work is remote, so the province matters less than the tax and lien rules your jobs fall under — those I'll confirm for where you actually work before quoting.
